CITY OF
DEFINITION
This
is a non-exempt position, which is responsible secretarial work of a complex
and varied nature.
An
employee in this classification is responsible for the performance of a variety
of complex secretarial work, including taking and transcribing verbal dictation
or transcribing voice recording of correspondence, minutes of meetings of Board
or Council and other materials. This
classification requires good clerical skills and technical knowledge of other
overall departmental operational procedures and of general and special
correspondence formats and procedures, and the unique vocabulary of the City
department to which assigned. Work is
subject to supervision on specific assignments and review of results.
EXAMPLES OF WORK PERFORMED
May
act as a secretary to management personnel, where diversified and general
knowledge of varied department functions is required.
May
type letters, reports and forms; compose and type routine correspondence and
statistical data; transcribe dictation; utilize computer equipment to input and
retrieve information, and prepare correspondence.
May
take and transcribe dictation consisting of correspondence, memorandums,
reports, minutes of meetings and other materials by voice recording or
shorthand depending on the requirements of the position.
May
attend evening public meetings, if position requires.
May
sort, assemble, and file correspondence, reports and other materials
alphabetically, numerically or by other predetermined classifications.
May
research complex public records to prepare reports and/or furnish information
and copies.
May
prepare and maintain clerical records, reports and minute and review for
sufficiency and accuracy, as required.
Operates standard office equipment.
Operates
typewriting equipment, personal computer and/or related data processing
equipment.
May
act as receptionist, answer telephones, direct callers to proper persons or
officials, provide non-technical or routine information.
Enters
data into access databases.
Performs
other related work as required and as directed.

SKILLS
Considerable
knowledge of modern office terminology, methods, practices and procedures.
Knowledge
of business English, composition, spelling, punctuation, grammar and
arithmetic.
Knowledge
of proper telephone etiquette and procedures.
Knowledge
of modern information systems, and standard software applications such as Word,
Windows and Excel and the ability to learn new applications.
Ability
to maintain confidentiality, prioritize work assignments and to work
independently.
Ability
to prepare concise and accurate minutes of meetings from recorded proceedings,
if position requires.
Ability
to understand and carry out instructions and to complete work assignments
correctly.
Ability
to establish and maintain an effective working relationship with other
employees, City officials and the general public.
Skilled
in the rapid and accurate operation of
personal computers, typewriters, word processor and other standard
office equipment.
Skilled
in the taking and transcribing of dictation, minutes of meetings or
conferences, by voice recording or shorthand, depending on the position to
which assigned.
DESIRABLE EXPERIENCE AND
TRAINING
Have
successfully graduated from a standard high school or possess a GED from a
recognized issuing agency, including or supplemented by courses in secretarial
science.
Experience
in general office and clerical work, which included taking and transcribing
dictation using either shorthand or voice recording, preferably including the
use of modern information systems and standard software application.
Any
equivalent combination of education, experience and training which provides the
required knowledge, abilities and skills may be considered.
This is a designated Will-Call Recovery
classification in the Citys Emergency Operations Plan and will require the
employee occupying this position to work for declared emergencies. Attendance at National Incident Management
System (NIMS) training at the appropriate level is mandatory.
