CLERICAL SUPERVISOR - POLICE

DEFINITION     

This is a non-exempt, which is responsible clerical supervisory work of a complex and varied nature at the VIN Unit.

 

An employee in this classification is responsible for the performance of a variety of complex clerical supervisory work, including transcribing verbal dictation or transcribing voice recordings.  An employee in this classification is also responsible for the maintenance of the Unit office.  This classification requires good clerical skills and technical knowledge of other overall special correspondence formats and procedures, and the unique vocabulary of the City department to which assigned.  Work is subject to supervision on specific assignments and review of results.

 

EXAMPLES OF WORK PERFORMED     

 

Acts as a secretary to management personnel, where diversified and general knowledge of varied department functions is required.

 

Types letters, reports and forms; composes and type routine correspondence and statistical data; transcribes dictation; utilizes computer equipment to input and retrieve information, and prepares correspondence.

 

Transcribes dictation consisting of correspondence, memorandums, reports, or voice recordings.

 

Sorts, assembles, and files correspondence, reports, confidential files, intelligence files, forfeiture files and other materials alphabetically, numerically or by other predetermined classifications.

 

Researches complex public and confidential records to prepare reports and/or furnish information and copies.

 

Prepares and maintains clerical records, reports and review for sufficiency and accuracy, as required; operates standard office equipment.

 

Operates typewriting equipment, personal computer and/or related data processing equipment.

 

Acts as receptionist, answer telephones, direct callers to proper persons or officials, provides non-technical or routine information.

 

Maintains the operation and janitorial of the office.

 

Prepares and maintains reports for Unit bank accounts.

 

Monitors remote camera sights and Teletrrack.

 

Delivers the mail to and from the office.

 

Processes payroll and reconciliation of funding with OCDETF cases.

 

Performs other related work as required and directed.

 

KNOWLEDGE, ABILITIES AND SKILLS

 

Considerable knowledge of modern office terminology, methods, practices and procedures.

Knowledge of business English, composition, spelling, punctuation, grammar and arithmetic.

 

Knowledge of proper telephone etiquette and procedures.

 

Knowledge of modern information systems, and standard software applications such as Windows, Word, Quicken, and Excel and the ability to learn new applications.

 

Ability to maintain confidentiality, prioritize work assignments and to work independently.

 

Ability to understand and carry out instructions and to complete work assignments correctly.

 

Ability to establish and maintain an effective working relationship with other employees and the general public.

 

Skilled in the rapid and accurate operation of personal computers, typewriters, word processor and other standard office equipment.

 

Skilled in the transcribing of dictation by voice recording.

 

Ability to function as a transitional bridge between supervisory personnel who may receive changes in assignment from time to time.

 

DESIRABLE EXPERIENCE AND TRAINING

 

Graduation from a standard high school or an equivalent recognized certificate.

 

Experience in general office and clerical work, which included transcribing dictation using voice recording, preferably including the use of modern information systems and standard software application.

 

Any equivalent combination of education, experience and training which provides the required knowledge, abilities and skills may be considered.

 

Must currently possess or be eligible to obtain, a Florida driver’s license with an overall good driving record.  No single suspension of driver’s license within the past two (2) years and no more than two (2) suspensions within the past five (5) year history (except if suspension was due to insurance error or clerk of court error).

 

This is a designated “Will-Call Recovery” classification in the City’s Emergency Operations Plan and will require the employee occupying this position to work for declared emergencies. Attendance at National Incident Management System (NIMS) training at the appropriate level is mandatory.
