ADMINISTRATIVE ASSISTANT- PLANNING, ZONING  & ECONOMIC DEVELOPMENT

 

DEFINITION

 

This is an exempt position, which is responsible administrative work coordinating, planning, developing and monitoring Economic Development activities as well as the City transit services.  The employee in this classification will exercise considerable initiative and independent judgment in developing and carrying out assigned work programs that are established and those that will be created.  The employee in this classification provides a wide range of administrative functions to the Economic Development Coordinator.

 

EXAMPLES OF WORK PERFORMED

 

Serves as City representative on the County Transportation Advisory Committee.

 

Compiles and analyzes statistical and financial information regarding all programs.

 

Coordinates all County programs regarding transportation with the City to insure that we are in compliance.

 

Provides the general public and other agencies with related information.

 

Assists in preparing and distributing marketing materials for transit programs as well as Economic Development programs.

 

Prepares and presents detailed and comprehensive reports, both written and oral, on related programs.

 

Acts as liaison between Elected and Governmental Officials, Corporate and Civic leaders, agencies and the media, if so directed.

 

Oversees the contract entered into by the City with the local transit service contractor.

 

Inspects periodically the upkeep of the vehicles both the interior and exterior.

 

Reviews requests for payments for accuracy.

 

Assist the Economic Development Coordinator in providing assistance to the businesses community.

 

Insures that the contractors are providing the proper paperwork as per the contract to Broward County.

 

Performs related work as required and as directed.

 

KNOWLEDGE, ABILITIES AND SKILLS

 

Knowledge of public administration with particular reference to county or municipal administration and management.

 

Knowledge of the principals and practices of procedural analysis, work simplification and organizational theory and practices.

 

Thorough knowledge of departmental policies and procedures.

Knowledge of electronic spreadsheet, database and word processing computer application.

 

Ability to implement administrative procedures and to evaluate their effectiveness.

 

Ability to prepare correspondence and written documents with clearly organized thoughts using proper English sentence construction, punctuation and grammar.

 

Ability to prepare procedural manuals, flow charts and other descriptive or graphic documents.

 

Ability to establish and maintain an effective working relationship with other employees, City officials and the general public.

 

Ability to effectively communicate and answer inquires from the public and interdepartmental entities.

 

Ability to prepare detailed written reports, memoranda, correspondence, etc.

 

Ability to prepare and present comprehensive and concise reports of a technical nature, both written and orally.

 

Ability to prepare and analyze statistical data and to make sound decisions and/or recommendations based upon findings.

 

Ability to plan, prepare and deliver informational presentations in an effective and professional manner.

 

Ability to establish and maintain an effective working relationship with management, private contractors, co-workers and the general public.

 

DESIRABLE EXPERIENCE AND TRAINING

 

Graduation from an accredited college or university with a Bachelor’s degree in Business or Public Administration, Environmental studies or related field.

 

Have at least two (2) years of responsible administrative and technical experience working in a municipal administrative office setting.  Any equivalent combination of education, experience and training which provides the required knowledge, abilities and skills will be considered.

 

This is a designated “Recovery” classification in the City’s Emergency Operations Plan and will require the employee occupying this position to work for declared emergencies.  Attendance at National Incident Management System (NIMS) training at the appropriate level is mandatory.
