ADMINISTRATIVE ASSISTANT-FIRE CHIEF
This is an exempt position, which is administrative work within the Fire Department, responsible for providing administrative support to the Fire Chief. The employee in this classification provides a wide range of administrative functions for the Fire Chief and manages and coordinates the daily operations of the department support staff.
EXAMPLES OF WORK PERFORMED
Assists in developing and implementing departmental policies, procedures and programs.
Maintains and updates the Fire Association’s membership database.
Coordinates meetings, conferences and appointments for the Fire Chief.
Organizes work schedules in a constantly changing work environment.
Composes correspondence independently and maintains records and files.
Performs public relation functions with the general public, departmental officials and other personnel.
Attends assigned meetings and takes and transcribes minutes of those meetings.
Plans, directs and supervises the activities of assigned clerical staff with emphasis on cross training and teamwork.
Reviews correspondence prepared by staff, edits and formats technical documentation.
Reviews existing organizational pattern, programs, work relationships and staff utilization.
Performs other duties as required and as directed.
Knowledge of public administration with particular reference to county or municipal administration and management.
Knowledge of the principals and practices of procedural analysis, work simplification and organizational theory and practices.
Thorough knowledge of departmental policies and procedures.
Knowledge of electronic spreadsheet, database and word processing computer application.
Ability to handle highly confidential information, in both written and verbal format.

Ability to implement administrative procedures and to evaluate their effectiveness.
Ability to prepare correspondence and written documents with clearly organized thoughts using proper English sentence construction, punctuation and grammar.
Ability to prepare procedural manuals, flow charts and other descriptive or graphic documents.
Ability to train and supervise assigned clerical staff in a manner conducive to full performance and high morale.
Ability to establish and maintain an effective working relationship with other employees, City officials and the general public.
Graduation from an accredited college or university with a Bachelor’s Degree in Public Administration or related field. Five (5) years experience in Public/Fire Administration, including one (1) year of supervisory experience. Any equivalent combination of education, experience and training which provides the required knowledge, abilities and skills may be considered.
This is a designated “Recovery” classification
in the City’s Emergency Operations Plan and will require the employee occupying
this position to work for declared emergencies.
Attendance at National Incident Management System (NIMS) training at the
appropriate level is mandatory.
